Every call is answered. Not a single one is lost.
voiceOne takes incoming calls around the clock — qualifies the enquiry, books appointments, routes intelligently or answers directly. No waiting times, no answering machines, no missed job.
Why use AI as reception & switchboard?
30% of all calls are lost
Lunch break, end of the working day, weekend, sick leave — your own staff cannot cover peaks. voiceOne picks up every call in under 1 second. Even at 3 in the morning.
Faster than any answering service
Traditional phone services take 3–5 rings before a person answers. voiceOne is there instantly. The first thing the caller hears decides whether they hang up or stay on the line.
Knows your calendar, your CRM, your team
Appointments are booked directly into Outlook, Google Calendar or the practice software. Contacts are recognised. Callers are routed to the right person — with a context briefing.
Speaks your customers' languages
German, English, Turkish, Russian, Arabic, French, Italian, Spanish and more. Traditional phone services speak only German and otherwise turn you away.
Everything AI call handling can do
Answer the call & give a personal greeting
When the phone rings, voiceOne picks up instantly. A custom greeting with your company name, a chosen voice (male/female, young/mature, regionally accented) and a defined tone (formal, casual, advisory).
Understand & qualify the enquiry
Freely worded enquiries are captured in substance: new customer or existing? Service request or complaint? Emergency or routine? On this basis the AI decides on the next step.
Book appointments directly during the call
Google Calendar, Outlook, CalDAV, practice software (medatixx, x.isynet, Turbomed), CRM calendar. The AI sees free slots, suggests three, confirms instantly and sends a reminder SMS.
Route intelligently
Recognises staff responsibility from the context: sales → sales team, complaint → service, emergency → on-call. Including a whisper briefing for the member of staff, so no one has to ask for the name twice.
Structured messages instead of voicemail
When no one is available, voiceOne summarises the enquiry in a structured message — contact, matter, urgency, callback window — directly in the CRM, by email or SMS. No transcribing of audio snippets.
Prioritise emergencies
Defined triggers ("acute", "urgent", "pain", "burst pipe", "fire") trigger immediate routing to the on-call service — even at night and at weekends. Routine cases wait until the next working day.
voiceOne vs. answering service vs. answering machine
Three ways to handle incoming calls — and why an AI achieves more than a traditional answering service or a voicemail. We assess honestly: answering services have their strengths too, and we name them.
| Criterion | voiceOne AI Reception | Answering service (ebüro, Junifer, etc.) | Answering machine |
|---|---|---|---|
| Response time (rings) | < 1 second — instant | 3–5 rings | 5+ rings, then a message |
| Availability | 24/7/365, no gaps at peak times | usually 8 am–8 pm, limited at weekends | Always active (but: silent) |
| Understand & qualify speech | Yes, freely worded, multilingual | Yes, but only what the member of staff writes down | No, recording only |
| Book appointments directly | Yes, straight into the calendar | No, only a note by email | No |
| Routing with context | Yes, incl. whisper briefing | With a delay via a second line | No |
| Scaling at peak times | Unlimited parallel conversations | Limited — waiting times possible | Unlimited (but silent) |
| Languages | 10+ languages | 1–3 languages (often at extra cost) | Irrelevant — no conversation |
| Competitor's acknowledged strength | — | A human can show genuine empathy on sensitive topics better | Very inexpensive, no configuration needed |

| Structured data into the CRM | Yes, automatically | Manually by a service agent | No |
How customers use AI reception
Heating company · Allgäu
voiceOne takes calls from 6 pm and at weekends. For "heating failure", "no hot water", "< 10 °C", the AI routes straight to the on-call service. Routine cases are noted for Monday morning — a structured message into the CRM.
Law firm · Düsseldorf
Incoming calls are qualified by area of law (employment law, family law, criminal law), matter and urgency. Consultation appointments are booked directly into the lawyer's calendar — the AI performs a conflict check (client name against existing clients).
Veterinary practice · Munich
After 7 pm and at weekends voiceOne takes the calls, answers FAQs (fasting before surgery, emergency contact, lost vaccination record), and books routine appointments into the practice software. Emergencies go straight to the veterinary clinic next door.

Frequently Asked Questions
How does AI reception differ from a traditional answering service (ebüro, Junifer)?
Four key differences: (1) response time under 1 second instead of 3–5 rings, (2) the AI understands the enquiry in substance and can book appointments directly — answering services only send notes by email, (3) parallel calls are unlimited — answering services have limited staff capacity, (4) 24/7 availability with no weekend surcharge. Answering services score well on highly emotional topics, where a human is often better — for such cases we recommend escalating directly to your member of staff.
What happens if the AI doesn't understand a question?
You define the behaviour yourself: (a) a warm transfer to a member of staff incl. context briefing, (b) book a callback appointment, (c) leave a structured message and the customer is informed of the callback time by SMS/email. Never "goodbye" without a next step — we treat "not understood" as a second chance, not as a failure.
How many calls can the AI handle at the same time?
Unlimited. If it rings 50 times at once, voiceOne picks up 50 times instantly. Peak loads (Monday morning after the weekend, right after a TV spot, emergency service periods in winter) are no problem. Exactly what traditional answering services or your own staff cannot cover.
Does it also work at night and at weekends?
Yes, 24/7/365 with no surcharge. You can define different behaviour per time window: book appointments Monday–Friday 9 am–6 pm, emergency routing in the evening, leave structured messages at night, entirely bespoke logic on public holidays. Configured in the self-service dashboard.
How is the AI trained on my practice or my business?
Online in 7 minutes: (1) choose your sector (we have templates for 15+ sectors — doctors' practices, trades, restaurants, hotels, law firms …), (2) upload or enter mandatory details and FAQs, (3) select voice and tone, (4) make a test call, (5) fine-tune if needed. Sector-specific vocabularies (heating, law, medicine) are already pre-trained.
Can staff take over live while the AI is on the phone?
Yes. In the voiceOne mobile app you see all ongoing conversations live. With one tap you take over the conversation — the AI hands over with a 5-second context briefing ("Mrs Müller about an appointment on Tuesday at 2 pm, asking to reschedule"). Whisper mode is also possible: you listen in and speak hints to the AI without the caller hearing you.
How fast is the setup and when is it live?
Basic configuration: 7 minutes online. CRM connection (HubSpot, Pipedrive, practice software): typically 1–3 days. Going live with your existing number via call forwarding: possible immediately. Your own voiceOne number: approx. 1 day. More complex setups (escalation workflows, multi-site routing): individual consultation.
